Job Description

We are looking for a highly organized and detail-oriented Project Coordinator to support the successful delivery of client engagements within the Professional Services team. This role focuses on coordinating project activities, maintaining documentation, supporting procurement processes, and ensuring project timelines and milestones are tracked effectively. The ideal candidate is proactive, structured, and comfortable managing multiple priorities while working closely with consultants, internal teams, and clients.

Project Coordination & Administration

  • Assist in setting up new projects and engagements across relevant systems and tools.
  • Coordinate project meetings including scheduling within consultant availability, preparing agendas, and arranging logistics.
  • Prepare and maintain project documentation such as project plans, status reports, and presentations.
  • Track project progress against milestones and highlight potential risks or delays.
  • Maintain accurate and up-to-date engagement details to ensure visibility of project status.

Procurement & Operational Support

  • Manage project-related procurement activities including vendor coordination and purchase order (PO) management.
  • Support invoicing processes and ensure procurement workflows are properly documented and tracked.
  • Ensure project records and documentation are maintained accurately.

Client & Stakeholder Coordination

  • Participate in client meetings when required and assist in coordinating communication between stakeholders.
  • Support consultants and project managers in ensuring smooth execution of project deliverables.
  • Maintain strong stakeholder relationships through clear and professional communication.

Project Development Support

  • Assist in developing project timelines, plans, and reports to maintain portfolio visibility.
  • Support the Project Manager in coordinating multiple concurrent projects.
  • Take ownership of coordinating smaller client engagements under guidance

Job Requirements

Experience

  • Mid-level experience in project coordination, project administration, or operations support.
  • Experience assisting with project plans, timelines, and status reporting is preferred.
  • Exposure to procurement processes such as vendor coordination, purchase orders, and invoicing workflows is advantageous.

Technical Skills

  • Proficiency in Microsoft 365 tools including Teams, SharePoint, Excel, Outlook, and PowerPoint.
  • Familiarity with JIRA and project plan creation.
  • Ability to maintain accurate project documentation and records.

Core Competencies

  • Strong organizational and time management skills with the ability to manage multiple priorities.
  • Excellent written and verbal communication skills.
  • High attention to detail and strong documentation practices.
  • Ability to work both independently and collaboratively in a remote team environment.
  • Strong stakeholder engagement and customer service mindset.

Education

Skills over Education: Relevant project coordination or operational experience is prioritized over formal academic qualifications.
