Job Description
We are seeking a proactive and highly organised Operations Assistant to support the smooth execution of business operations within a growing professional services firm. This role is ideal for someone who thrives in a fast-paced environment and takes ownership of improving processes, coordination, and operational efficiency. A successful candidate will not only manage day-to-day operations but also actively contribute to improving workflows, systems, and overall business performance.
Key Responsibilities:
Operations & Workflow Management
- Maintain and update internal job management systems
- Monitor outstanding tasks and identify bottlenecks or delays
- Coordinate with team members to ensure timely completion of tasks
- Improve workflow visibility and accountability across teams
Project & Coordination Support
- Assist in managing internal projects, timelines, and deliverables
- Track progress and ensure alignment with business priorities
- Support cross-functional coordination and communication
Calendar & Meeting Management
- Manage leadership calendars and scheduling priorities
- Organise structured and effective internal meetings
- Prepare meeting agendas and track follow-up actions
Process Improvement & Systems Support
- Identify opportunities to improve internal processes and systems
- Support implementation of new tools, workflows, and improvements
- Assist in driving operational efficiency initiatives
Administrative & Operational Support
- Provide day-to-day operational and administrative support to management
- Support documentation, reporting, and coordination tasks as required
Job Requirements
- Experience in operations, administration, coordination, or project support roles
- Skills over education
- Strong organisational and time management skills
- Ability to manage multiple priorities in a fast-paced environment
- Strong communication and stakeholder management skills
- High attention to detail and structured working approach
- Strong problem-solving ability and proactive mindset
- Tech-savvy with the ability to learn systems quickly
- Experience in accounting or professional services environment
- Familiarity with tools workflow systems
- Experience in process improvement or workflow optimization
